Job Purpose
To provide a friendly, professional, and efficient receptionist service, primarily based at our Liverpool office, with occasional cover required at our Birkenhead office, responding to internal and external enquiries in a helpful and timely manner.
Key Responsibilities
- Answer and screen incoming calls, consistently delivering a positive and professional client experience.
- Greet all visitors, providing a warm and welcoming front‑of‑house service to Carpenters Group.
- Manage the internal diary system for all meeting rooms across the business.
- Coordinate meeting requests and allocate appropriate meeting rooms accordingly.
- Monitor and manage the reception email inbox, redirecting enquiries to the appropriate departments.
- Ensure meeting rooms are maintained to a high standard and set up in line with meeting requirements.
- Arrange lunch orders and refreshments for meetings as required.
- Coordinate transport arrangements for external clients and visitors.
- Provide daily visitor information and updates to the Management Team.
- Input and maintain client satisfaction questionnaire data accurately.
- Act as a key liaison point between clients, visitors, and internal colleagues.
- Support the Facilities team with ad‑hoc duties as required.
- Ensure all principal accountabilities of the role are met effectively.
- Deal with all matters efficiently, demonstrating a proactive and professional approach at all times.
Experience & Knowledge
- Previous experience working in a busy environment, handling a high volume of incoming calls.
- The ability to create and foster a proactive culture that supports efficiency and productivity.
- Good IT skills, with a sound working knowledge of Solcase or a similar case management system, alongside essential Microsoft Office proficiency.
- Excellent time management and organisational skills, with a calm, methodical approach to work and a flexible, adaptable attitude to resolving issues.
- Strong communication and interpersonal skills.
- The ability to ask clear and concise questions to accurately establish the nature of customer enquiries.
- The ability to work effectively both as part of a team and on one’s own initiative.
